Registration

Updated Oct 15, 2026

Participants reach your tournament in four ways. They differ in who is trusted, and you manage all of them from the Participants tab.

The four ways in

  1. They join. A player or team joins from the tournament page. The entry is approved at once if Approve join requests automatically is on. Otherwise it waits in your approval queue.
  2. You add them. Click Add participant on the Participants tab, then pick an existing player or team under Search existing, or type names under Add manually. They are approved immediately. If you give an email and tick Send an invitation email to entries with an email, they are invited instead and must accept.
  3. They use your join link. On an invite-only tournament, anyone with the link can join (or ask to join, if approval is manual).
  4. They answer your personal invitation. An entry you invited by email waits until the invited player, or the invited team's owner, accepts or declines. They can answer once.

Add participant is disabled on a tournament that charges an entry fee, because entrants have to join themselves and pay. It is also disabled once the tournament has started. Late entry into a Race or Points stage is the one exception, see below.

Approval queue

Pending requests appear in the participants table. Use Approve or Decline in a row's menu, or select several and use the bar that appears.

  • Declining refunds the entry fee.
  • Approving seats the participant in the first stage. Approving a declined entry again takes a seat. On a paid tournament this is refused because the fee was refunded. Remove the entry and let them register and pay again.
  • Once the tournament is ongoing, an approved participant cannot be declined or removed. A pending request can still be turned down.
  • On a paid tournament, a request you never answer is declined and refunded automatically after a short grace period once registration closes. Answer paid requests before registration closes so the decision stays yours.

Capacity

Max participants is a hard cap. Pending requests and open invitations hold a seat, so a full tournament refuses new joins even if some seats are not approved yet. Rejected entries free their seat. Adding a batch of participants that does not fit adds nobody.

Registration window

With Open registration on, players can join only between Registration opens and Registration closes. With it off, there is no window. Your window dates stay editable until the tournament starts. Turning registration on or off is locked at publishing.

Invite-only tournaments

Choose Invite only as the visibility. People still see the tournament page, but only those with your link or a personal invitation can register. A link does not extend the registration window.

  • The Join link card on the Participants tab shows the link. Generate new link makes the current one stop working immediately.
  • With auto-approval on, anyone holding the link joins right away. With it off, each request waits for you.
  • Visibility is locked when you publish. While a draft, switching to public retires the link, and switching back always creates a new one.

Invitation expiry

An invitation holds a seat but not a place in the bracket. It can be answered until registration closes or the first stage starts, whichever comes first. After that the entry is turned down and the seat is freed. You can use Resend invitation in an invited row's menu.

Entry fees

The fee is charged to the entrant when they join, or per stage, depending on what you chose. Fees are frozen at publish. See Entry fees.

Late entry for Race and Points stages

In a Race or Points stage you can tick Allow late entry while the stage is running. While it is on, you can add newcomers from the stage's Participants tab with Add participants, and an entry you approve is seated in the running round. It closes at the tournament's registration cutoff, and once the round is closed nobody more joins. Other formats never take late entries.
